How documents flow: quote to order to invoice to payment
The normal path through Bizinly, and the credit note that corrects it.
The normal path is quote to sales order to invoice to payment, with a credit note to cancel or correct an issued invoice. Every step is optional — you can start at an order or an invoice directly if that suits your business.
- Quote: create it, then Mark sent. When the customer agrees, press Accept — Bizinly creates a sales order linked to the quote and marks the quote Accepted.
- Sales order: Confirm it (any free-text lines become catalogue products at that moment), optionally Start progress and Mark fulfilled, then press Create invoice.
- Invoice: it starts as a Draft with no number. Press Issue — Bizinly assigns the number, sets the due date and locks the document. The order that produced it flips to Invoiced.
- Send: download the PDF, e-mail it (this marks the invoice Sent) or share a public link.
- Payment: Record payment on the invoice — its status moves to Partial or Paid automatically.
- Credit note: on an issued invoice, press Credit note; issue it to cancel the invoice, or part of it.
- Proforma is a side path: create it, press Mark sent (this assigns its number), then Convert to invoice.
Every conversion links the documents: open the Related tab on any document to see its parent, its children and its credit notes.
