Leave requests and balances

Request time off, see your balance, and how approval works for planners.

Requesting time off

Open Leave → Requests to see your balance — allowance, days carried over (and until when), used, requested, days left, sick days taken, and the current leave year — and to request holiday, sick leave, training or unpaid leave. A one-day request can be a half day. A request not yet decided can be withdrawn.

Holiday can only be requested while there is enough balance for it: allowance plus any carried-over days still valid, minus what is already approved or requested. Sick leave works differently — it is reported rather than requested, approved automatically, and the approvers are simply notified.

A request is refused up front if it falls on a blocked date (set for everyone or for a department) or would put too many people from the same department off on the same day, both configured in Workforce setup.

Approval

Planners, and a department's team leader for their own department, see what is waiting to be decided and approve or decline it — never their own request. The person is notified either way. Approving a holiday request removes any work shifts already planned for that person on those days.

Wallchart

Leave → Wallchart shows a month grid, one row per person: approved leave solid, requested leave striped, half days shown as such, with weekends and public holidays marked and a department filter. It respects the "staff see the whole rota" setting, the same as the rota itself.

Carry-over

At the start of a new leave year, Carry over into [year] brings across everyone's unused holiday from the year before, up to a configured maximum, valid until a configured date (after which it expires) — editable per person where an exception is needed.
