Checklists, subtasks, labels and links

Break a task down, tag it, and show what it depends on.

Four small tools on every task, all in its side panel and on its full page. Everyone who can see the task sees them; everyone who can work on it can change them.

Checklist

A simple to-do list inside one task — "Send the draft", "Get approval", "Publish".

  1. Type an item in the Checklist box and press Enter; the box stays ready for the next one.
  2. Tick an item when it's done. Click its text to rename it (Enter saves, Esc cancels), use the arrows to move it up or down, and × to remove it.
  3. The section reads "Checklist · 3/5" with a progress bar, and the task's card and row show ☑ 3/5.

A task can have up to 100 checklist items.

Subtasks

When part of a task is a piece of work of its own — with its own person, status, due date or time — make it a subtask.

  1. Under Subtasks, press + Add subtask, type the title and press Enter.
  2. The subtask is a full task: it lands in the first To do status, is assigned to the parent's assignees (change them in its own panel), and gets its own number, comments, files and time.
  3. The parent shows "Subtasks · 2/4" and ↳ 2/4 on its card; a subtask's card has a small ↳ parent line under its title, and its panel starts with a link back to the parent.

Subtasks go one level deep (a subtask can't have subtasks), up to 50 per task. Deleting the parent turns its subtasks into ordinary tasks.

Labels

Labels are coloured tags for your whole company — "Urgent", "Design", "Waiting for customer", or just a colour with no name.

  • Pick labels on a task next to Type and Priority; each tick saves at once. A task can carry up to 12.
  • Labels show as small chips on board cards, and as a Labels column in lists, which you can filter by label — on a project's List and in My tasks.
  • People who manage projects create, name, recolour, reorder and delete labels under Projects → Statuses → Labels — see Statuses, labels and Projects settings.

Links between tasks

Show that one task depends on another, or that two belong together.

  1. Under Links, press + Add link and choose Blocks, Blocked by or Relates to.
  2. Search for the other task by title or number (#12, T-00003) and click it. You can link to any task you can see, in any project.
  3. Both tasks list the link — "Blocks #12", "Blocked by #7" — with the other task's status; × removes it. Both tasks' Activity records it.

While a task is blocked by a task that is still open, the blocked one shows a red Blocked badge on its card and row, and the "Blocked by" line is red. It's a warning, not a lock: the task can still be moved or finished. Two tasks can have one link between them, and a task up to 50 links.
