Statuses, labels and Projects settings

Name the steps your work goes through, set up labels, and switch parts of Projects on or off.

Task statuses and labels are shared by your whole company, the same way your document statuses are. People your admin allows to manage all projects (owners and admins by default, set in Admin → Permissions) edit them under Projects → Statuses; everyone else simply uses them.

Task statuses

Projects starts with six statuses: To do, In progress, Paused, In review, Done and Cancelled. On the Statuses tab you can:

  • Add a status (it goes last), rename it, give it a colour and move it up or down — the board's columns follow this order.
  • Put each status in a group: To do, In progress, Review, Done or Cancelled. The group is what Bizinly reasons with — progress bars, overdue tasks, the Open / Done pills, Mark done and the reminders all look at the group — so you can call your statuses whatever you like ("Waiting for client", "Testing", "Shipped").
  • Tick Hide on the board when empty for a status that is only occasionally used: its column appears only while it has tasks (Paused works like this).
  • Delete a status. If tasks use it, you choose which status to move them to first.

Statuses in the Cancelled group don't get a board column. A new task starts in the first To do status. There must always be at least one status in the To do group and one in Done, and a company can have up to 40 statuses.

Labels

The Labels tab is where labels are made. The first time you open it, there's one unnamed label in each of the seven colours to start from: give them names, add more (up to 40), recolour, reorder or delete them. Deleting a label takes it off every task that has it — you're told how many first. How labels are used on tasks: Checklists, subtasks, labels and links.

Projects settings

An admin finds the add-on's own settings under Admin → Plugins → Projects → Settings.

Parts of Projects — switch any of these off for the whole company:

  • Checklist
  • Subtasks
  • Time tracking — logging time, the Time tab and sections, time on cards and rows, and invoicing time. Switching it off switches the timer off too.
  • Timer — the Start / Stop buttons and the running timer in the top bar.

A part that's switched off is hidden everywhere and can't be used, but nothing is deleted — switch it back on and everything returns as it was.
